How to Enter Checklist
Complete the online entry form for the appropriate category and upload the completed entry packet.
Entry packets should include the following:
- Cover sheet listing all the contents of your packet
- 1‐2‐page project description (description for winning entries will posted online) noting the following:
- How the project meets each of the criteria ‐ Include concrete, factual support that avoids vague and/or promotional language.
- Why it should be selected as one of “ACLEA’s Best.”
- Supporting materials for the Publications and Marketing Awards may also be submitted in hard copy. When submitting hard copies, please include the complete entry packet and send a copy directly to each member of the appropriate subcommittee.
- Optional: Additional material to help the judges assess your entry (depending on the category and the nature of your project, items may include a course manual, evaluation summaries, audio or video highlights (no more than 15 minutes), URLs, etc.)
- The judges are your peers. Put yourself in their shoes.
- The categories overlap. Use some strategy to choose the one to enter a project in. If you are unsure whether a project is appropriate to a category, consult the subcommittee co‐chairs prior to the deadline and before submitting your entry. If you submit your project in a category for which it is ineligible, you will not have an opportunity to resubmit it in an appropriate category after the deadline.
- Prepare a packet of information that gives a good picture of the nature of the project in as accessible a manner as possible.
- The project description should be written by someone involved in developing the project (not someone from your marketing department – unless it’s a marketing entry!) and specifically address each of the criteria.
- General puffery will not help you and may actually decrease your chances.
- If couriering your hard copy of supporting materials, use overnight or other expedited delivery for submissions close to the deadline.
- If you don’t receive confirmation that your entry was received, a quick follow up email to the ACLEA office email@example.com to double check is a good idea.
- Save at least one copy of your entire entry packet. If you win, you’ll be asked to bring it for the display table at the annual meeting. Other ACLEA members may want information about your project; an easy way to provide it is to send a copy of your entry packet or send it electronically.
- Coordinate with others in your organization to choose the project that will be submitted in each category.
- While only ACLEA members are eligible to enter, an entry need not have been the personal project of the person submitting it. Awards are given to organizations, not individuals.
- If you have questions, contact the awards committee co‐chairs or the co‐chairs of the subcommittee for assistance.
- Due by deadline on top of entry form (no extensions). Please make sure your entry will arrive well before the deadline.
- Include all items in the How to Enter checklist.
- Completed projects with a release date of the current or prior calendar year are eligible (i.e., for the 2016 awards, a release date of 2015 or 2016. (“Completed” means book has been published, seminar held, etc.)
- Winning projects from previous years may not be resubmitted.
- Each project may be submitted in only one category.
- Each organization may submit only one entry in each category.
- Only ACLEA members are eligible.
- Subcommittees reserve the right to grant no or fewer than three awards in any category. A subcommittee may decline to judge a sole entry on its merits and invite the entrant to resubmit the following year.
- NOTE: Maximum file size for submissions is 30MB.
Additional Rules for Best Program (Course) and Best Publication Categories
- Division of entries
Subcommittee co‐chairs will divide eligible entries approximately in half each year, according to the size of the organization (Best Program Category) or publisher (Best Publication Category). The primary factor determining an organization’s size is the number of live courses it offered in its previous budget year. The primary factor determining a publisher’s size is the number of printed titles (not including seminar manuals) it currently publishes. However, subcommittee co‐chairs reserve the right to take other factors into account, including the number of staff in an organization and the size of the organization’s bar, and are not required to divide entries precisely in half. The subcommittee co‐chairs’ division of entries is final, except when they refer issues to the awards committee co‐chairs.
- “New award winner”
A subcommittee may decline to grant an Award of Outstanding Achievement to a “new award winner” in two circumstances: if (1) the subcommittee decides no “new award winner” has sufficient merit for an award, or (2) a “new award winner” wins one of the other awards in the category. If one of these circumstances occurs, a subcommittee may grant an Award of Outstanding Achievement to an entry that does not qualify as a “new award winner”.
- In the Best Publication Category, a new edition of a book is eligible if it was substantially reworked or redesigned in the current or previous year, but a book is not eligible if it was simply updated or supplemented.
Policy on Entries by Organizations with which Awards Committee Members Are Affiliated
In order to avoid the appearance of impropriety or unfairness, members of Awards Subcommittees considering entries for awards are required to recuse themselves from evaluating entries submitted by their own organizations and to make sure they are as objective as possible in evaluating competing entries. Other members of the Subcommittee take special care to be objective when an entry from a colleague on the Subcommittee is being considered. Where appropriate, Awards Subcommittee members also recuse themselves from considering entries from organizations with which they have been recently associated.
